Job Role Description: 

JOB DESCRIPTION

ROLE PURPOSE

To provide support for top level executives by providing executive level administrative support by providing clerical support, receiving clients and visitors, arranging travel and correspondence, and scheduling meetings. May also be responsible for training and supervising lower level clerical staff.

ROLES & RESPONSIBILITIES

Operational

  1. Manage and maintain the EVP/VP schedule, including travel and conferences scheduling, booking appointments...etc.
  2. Oversee and constantly evaluate the implementation of the finance policies through the department practices to ensure they are in compliance with Finance process and guidelines.
  3. Prepare and develop a Finance management system to maintain and record the data and progress when appropriate.
  4. Respond to executive routine memos, letters, or correspondence of emails.
  5. Prepare a proper and efficient analysis reports to capture all the finance on-going projects.
  6. Read and analyse submissions, letters, agendas, memos and determining significance, routing to appropriate personnel in a timely and efficient manner.
  7. Prepare reports, collect, and analyse information; prepare presentations when needed.
  8. Design and optimize all Finance Process Modelling / workflows related to Finance Main projects and out-standing tasks at the Finance department management (when needed) to ensure efficiency and effectives of Finance performance excellence.
  9. Ensures Reports/Dashboard utilization among all Finance by providing details, guidance, and support.
  10. Continuously update the finance reports and dashboard to ensure accuracy and validation of Finance master projects plan data in order to build robust data in Finance metrics and reports.
  11. Develop and utilize historical information; provide retrieval of information.
  12. Meet with special interest groups or individuals on behalf of executives.
  13. Prepare checks for signature and review.
  14. Provide clerical and general office support to others in the department.
  15. Document complaints and align it with the line managers and EVP in order to support in developing an appropriate course of action.

JOB REQUIREMENTS

QUALIFICATIONS

Minimum Education Required

  • Minimum of a Bachelor's degree in a relevant field is required (i.e. Business Administration, Economics, Engineering)
  • MBA or Master's in a relevant field is a Plus

Professional Certifications Required

  • Not required

EXPERIENCE

Years of experience

  • Minimum of 2 - 4 years of relevant experience in a relevant field
